Our process and transparency standards
When you cannot see the work yourself, you need a record you can rely on. These are the standards we apply to updates, documentation and money on every event.
Updates
- Your dashboard is updated as work happens, not saved up for a weekly summary.
- Every sub-task change records who made it and when.
- Site visits, tastings and setups are photographed or filmed and uploaded to the relevant activity.
- With the Structured Progress Protocol, you also get a weekly written report and a video call every two weeks.
- All messages between you and your Client Executive are exchanged in your dashboard and kept permanently. Neither side can delete them, and our management reviews conversations to make sure you are answered properly.
- You receive an email whenever a new message arrives. Your Client Executive replies during working hours, and to urgent messages at any time in the week of your event.
Documentation
- A written scope, budget and timeline signed before work begins.
- A written agreement with every vendor, listing deliverables, staff numbers, timings and payment terms.
- Vendor contracts uploaded to your dashboard.
- A decision log of what was agreed, by whom and when.
- A closing report after the event.
How payments are handled
Money is the most common source of conflict in family events. We keep it simple and visible.
Money received
All payments are received into our official company accounts, never personal accounts. Every amount is recorded with the date, method and reference, so both sides always agree on what has been received.
Money paid to vendors
Vendor payments are made only under a signed vendor contract and within your approved budget. Each one is recorded with the vendor, purpose, amount, date and receipt.
Remaining balance
Your dashboard shows the funds held for your event and any amount still due under the agreed budget, updated with every entry.
What we will never do
- Pay a vendor without a written agreement.
- Spend beyond your approved budget without your written approval.
- Take commission from vendors that you have not been told about.
- Remove or edit a payment record without it being logged.
